The National Association of Regional Council’s 52nd Annual Conference & Exhibition is headed to Orlando, Florida this June.

Come meet with elected officials, executive directors, senior staff, and community planners from regional councils and metropolitan planning organizations across the country. Sponsors will enjoy public recognition, conference participation, business promotion, and one-on-one interaction to help grow your business in the regional market. This is a great chance for your company to gain exposure and build lasting relationships with key leaders from coast to coast.

EXHIBITOR DETAILS

Check-In
When you arrive at the event, please visit the registration desk on the second level (Horizons Ballroom) of the hotel to pick up your badge and check in. Marcy Fritter or myself will direct you to your booth location and answer any questions. Signs in the lobby of the hotel will direct you to our registration desk.

  • For those based in Florida that are driving in: Please pull up to the front entrance of the hotel to unload and the bellman can assist with transporting.
  • Floorplan will be available at check-in.
  • Booth numbers and stickers for Passport Cards will be available at check-in.

Exhibitor check in and setup
Sunday, June 3 from 11:00 AM – 5:00 PM or Monday, June 4 from 7:00 AM – 7:45 AM. If you choose to set up Monday morning, the space opens at 7:00 AM but exhibitors must be set up by 7:45 AM. Tables dimensions are 30″x6′ tables (skirted). NOTE: We encourage exhibitors to arrive on Sunday. Registration will open 11:00 AM – 5:00 PM Sunday.

Exhibitor check out*
Tuesday, June 5, following the close of sessions at 4:30 PM. Exhibitors should not break down until after that last session has broken and attendees have vacated the area.

Deliveries
Boxes can be shipped directly to the hotel to arrive no earlier than Thursday, May 31. Please let us know if you plan to send boxes and the quantity. Boxes should have the following information on the labels, so they can be identified as part of NARC’s group:

Booth Materials
Need to order/reserve additional supplies for your booth? Power is $100; just check the appropriate box on the exhibitor/sponsorship invoice and add the amount to the total. If you need additional items, please reach out to anna@narc.org to discuss available options and pricing.

Hotel Update:

  • If you still need to book a room, please note that the NARC hotel block has sold out. You can still reserve a room by the Friday deadline by contacting the Wyndham Garden directly on their voice line: 844.482.8444.
  • If you make a reservation at this new location, please notify Marcy Fritter at marcy@narc.org so she can move you into the filled room block in the event that we have cancellations. If you wish to cancel or make changes to your existing registration, also reach out to Marcy Fritter at marcy@narc.org.

SPONSORSHIP LEVELS & REGISTRATION

The Audience
Attendees consist of locally-elected officials, who serve on the boards of directors of the nation’s regional councils and MPOs, and the executive staff of those regional councils and MPOs. Regional councils – NARC Members – are voluntary associations of, by and for local governments, established to assist local governments in planning for common needs, cooperating for mutual benefit, and coordinating for sound regional development. This year, NARC expects approximately 200-250 attendees from across the nation to attend the event.

You can also register to attend the conference as a private sector participant.

NETWORKING OPPORTUNITIES

Opening Reception / Sunday, June 3, 7:00 PM – 10:00 PM * / $15 Fee for Guests 18+
Join us as we kick-off the conference with Disney fireworks! Our opening reception will be held on Disney property at Italy Isola and West Plaza. Our location offers an ideal viewing point for Illuminations; Reflections of Earth! which is the nightly fireworks and laser show hosted at Epcot at 9:00 PM. Transportation to and from the reception location is provided. We will gather at the hotel for opening remarks and then board buses to go to the venue. Buses will depart at the end of the fireworks presentation.

Mobile Tours
Mobile Tours are available to attendees, sponsors, and exhibitors at an additional cost. If you wish to register for a mobile tour, contact anna@narc.org so she can process payment and add you to the list.

Behind the Scenes at Walt Disney World Mobile Tour / Sunday, June 3, 12:00 NOON – 4:00 PM * / Add’l Cost: $140
Ever wondered how Walt Disney World seems to make all that magic happen? Join us for a Behind the Scenes tour as we get a peek into the theme parks’ operations. Tour participants will visit the Creative Costuming department, Magic Kingdom’s underground tunnels, and more.

Explore the Headwaters of the Everglades Mobile Tour / Sunday, June 3, 12:00 NOON – 4:00 PM * / Add’l Cost: $50
The headwaters of the Everglades start just down the street from the host hotel. This tour will take you on an airboat ride through the headwaters while showcasing some of the unique environmental characteristics of Central Florida. Time permitting, the tour will also include a stop at the Disney Wilderness Preserve.
